#TEAMS365 #2100 – Effective Virtual Conversations Tip 113

It’s Monday at time for our next Effective Virtual Conversations Tip. This is tip 113 in the series. Be sure to check out the weekly Effective Virtual Conversations Tips here. You can find out more about this book and related programming over at EffectiveVirtualConversations.com.

This week’s tip gets you to consider the question “What digital distractions are impacting you?”. From pings to things flashing across the screen, interruptions in the digital space can quickly take us off focus. While Gloria Marks research has shown that it can take upwards of 22 minutes to regain focus, sometimes we don’t have that long.

What are the things we can do to create more focus in the virtual/digital space?
  • Go on airplane mode or non-wifi for parts of the day when you need deep concentration
  • Work on different devices – i.e. a smaller laptop for writing projects
  • Schedule "deeper thinking" work at different parts of the day
  • Make a point of spending part of a work day outside of the office. For example, I spend 2-3 hours working out of a public library once a week. In addition to being a great research resource, it also is an place where I know I will be able to work without the usual distractions. I usually target to take action on the one project that has been left hanging for that week. It gives me a keen sense of satisfaction as I do to leave after my time spent.

As another resource you may want to check out, I continue to enjoy the writing of Cam Newport in his books – Deep Work and Digital Minimalism. If today’s topic is of interest to you, you may find these books interesting.

Questions to consider:
  • What are the digital distractions you are most aware of?
  • When do they happen?
  • What are 3-5 things you can do RIGHT NOW to create more focus and minimize distractions. DO IT NOW! (Before you get up or click on or reply to the next email). Thank you!

This week’s Flashback Friday takes us back to a post which kicked off a series on remote team or virtual team builders. With an increasing number of teams moving to the remote space, there is likely to be the need for more support and resourcing in these areas. I hope that you will consider turning to our services here at Potentials Realized, given our experience and grounding in these areas.

Let’s look at #TEAMS365 #1892 – Virtual Team Builders #1 – Creating Connection – Part 1 – Through Images

Over the next few weeks I will be sharing a variety of Virtual Team Builders to support you with quick activities that are going to support virtual and remote teams in focusing in on results and/or relationships.

Virtual teams benefit from time spent in getting to know each other – who is who, who does what, and what priorities they are working on. Virtual team building activities don’t need to take a lot of time.
​
Something most teams will want to build in across time are quick warm-up exercises to create connection.

The first exercise I wanted to share (which will be followed next week by 2 more), is by creating connection through Icons.
 
As I mentioned in yesterday’s post, creating trust and connection across a group is critical. If it’s a virtual and remote team you are working with, you might be working across geographic locations. You may have a team member calling in from Asia, one from Australia, one from Africa, one from New York, one from Europe.

Part of creating connection and team success is ensuring that people get comfortable and feel confident on the call, especially if they might be using a working language that is not their first language.

In my work over the last several decades, I’ve liked to incorporate photos and icons as “door openers” and metaphors for conversation.

Before I started Potentials Realized, one of my last roles was as a sub- regional manager. I had staff in 10 countries and, out of our team of about 30 at one point, there were 20+ different nationalities.

In creating connection across a virtual team, we want to give the team an opportunity to:
  • Get to know each other,
  • Understand who we are as a team,
  • Explore what's important to us,
  • And understand how we are similar and how we are different.
These questions and the exploration of these questions is a really critical component of the virtual team leader's role.

Back to the Icon exercise, using your access to stock photography find a photo that offers a selection of icons. Have each person select an icon that they connect with, which represents what they bring to the team.

As you go around the table, this is a fun way to share a little bit about yourself in a way that hopefully is not too threatening. Select a graphic that has enough icons which provide enough variety to invite people into the conversation.

​This week’s Team Building Tip gets you to discuss the question “What do you want to say NO TO?”. Discernment is critical in today’s business context. Take a look at this past post. If you work within a matrix environment, it can be very easy to get overloaded with new work and responsibilities. Taking a big picture of what’s going on and being clear on competing priorities can be essential. Saying NO or NOT RIGHT NOW as much as YES can be critical for productivity.

Saying NO needs to be done in a tactful way. In the remote space this may involve:
  • Helping people understand the context of your work. This might involve things like having everyone share a status update or adding a “priorities section” to your team meetings.
  • Problem solving together with the person you are having to say “no” to. Language might be along the lines of “If I focus on this task right now, then that task may not be completed until next week? What would you prefer me to focus on?” or “Is there anyone else who might be able to take on this task?”

Saying “no” is important so you can FOCUS in on what’s most important.

#TEAMS365 #2095 – Remote Working Success Factor: What You Need

Getting organized and set up with the space and processes you require to work at peak performance is critical for those new to the remote space. It’s tempting to say “I’ll deal with it later”, and it’s likely that later may never arrive. Build in time at the start of your remote work to put into place these items at your new, dedicated work space:
​
  • A place with good lighting, privacy and space to work
  • A place to close the door and have private conversations
  • Place to secure files – physically and digitally
  • Cloud based storage for when you need it
  • Contact list you can access
  • Back up - where are you saving your files?
  • Super strong internet
  • Clear boundaries with loved ones and family about when and when you are not available. What are your working hours? Break times?  Just because you are home it does not mean that you can walk the dog, take out the garbage, cook dinner etc. Developing a series of “go-to” phrases for when neighbors ask you to do things that will distract you from your focus can be useful.

#TEAMS365 #2094 – Remote Working Myth: I Can Work Around the Clock

As we consider this month’s focus around remote work, we get to explore another myth of remote work. One of the fallacies of remote work is thinking that “I can be on all the time”.  As a remote worker it can be very important to set boundaries around when you, and others on the team, are available. While days with long hours of work may be a “one off”, they should not become the norm. It’s important to remember that remote workers are typically governed by the work context in which they reside, where different employment standards may exist.

Several organizations I have worked for as a former remote director and leader established core working hours. These were hours that everyone across the organization had to make themselves available for.

Questions to consider:
  • What are the hours of work everyone should be available for – even a few days a week?
  • What boundaries are important for team members to consider?
  • What are the elements which are important to note?
  • What will help people on the team renew?
  • What will support that sharing of information “around the clock”?

Its Monday which means that it is time for another Effective Virtual Conversations tip. One of the challenges in today’s remote and virtual workspace is that people only see a small window of our world – literally what we show them on our screen.

This is a challenge given that CONTEXT is so important for business today. Helping others understand our world can happen through the stories and information we share, and it can also be influenced by what we choose to share.

Today’s prompt gets you thinking about “What do you want to share with others?”.

It could include
  • A different view behind you
  • A snapshot of a project you are working on
  • An illustration of the different people you liaise with
  • A map of your key priorities for the next quarter
  • Something related to your most important priority right now
  • If you are a remote team, it might be interesting to have everyone mix it up at your next team meeting. Ask people to dial in from somewhere different, or intentionally build in time to share a priority.
