Picture
Taking time at the end and beginning of every month can be a great opportunity to identify success factors you can replicate regularly as well as take stock what isn’t working, and make a shift.

Each month end I provide you with a variety of reflection questions. I hope that you’ll take 15 minutes to reflect on these right now – a be sure to journal!

Reflecting on the month of July:
What were my major achievements this month?
What do I want to celebrate?

As I consider my goals (and resolutions) I made at the start of the year, how am I doing with these on a scale of 1-10? Which ones are becoming new habits or something I can check off?

Which goals need to be let go of or changed?
What habits have supported me this month?
As a leader, what have I noticed about my team this month?
As a leader, what notes should I make about performance issues (if I haven't done it already!)

The thing that has helped me be most productive this month has been ______
The thing that has helped me be most successful this month has been ______
The thing that has helped me be happiest this month has been ________
The thing that has helped me be most healthy has been _______
What have I noticed about my work/productivity/results and/or relationships during the winter months (if you are in the northern hemisphere) or summer (if you are in the southern hemisphere)?

How I’m doing with my theme of the year (how I am living it, embodying it).

Looking ahead to August:
The project I want to get started
The project I most want to wrap up is...
I want to leave ______ in the month of July
My priorities are:
Our team priorities are:
My goals are
My teams goals are:
I want to......
By the end of August, I will know I am successful when:

teams365 #3852: Creating a successful mentoring program

7/30/2024

Picture
Earlier today one of my business partners and I wrapped up our annual mentoring training for an organization we have partnered with for several years. They have been using our Mentor Roadmap programming for many years to support individual and group mentoring initiatives.

In today’s world of business, mentoring is a “must have” in your talent and development toolkit. We can benefit from mentoring at all stage of our careers – from early days to seasoned executive. Whether we are being mentored by someone more experienced, being reverse mentored in learning from those that we are mentoring ourselves, or in a peer mentoring process, mentoring is a low-cost/high impact way to build a stronger, more engaged organizational culture.

What if you want to get a mentoring initiative started at your organization? Consider these four areas:

Creating a successful mentoring program within your organization can be a powerful way to foster professional growth, enhance employee engagement, and develop leadership skills. However, to ensure its success, thoughtful planning and execution are crucial. Here are four key considerations when building out a mentoring program:

 1. Define Clear Objectives and Goals

The first step in developing a mentoring program is to establish clear objectives and goals. What do you hope to achieve through this program? Are you aiming to enhance leadership skills, facilitate career development, or improve employee retention? Defining these goals will help shape the structure and focus of the program. For instance, if the objective is to prepare emerging leaders, the program may include components such as leadership training, project assignments, and networking opportunities. Clearly articulated goals also provide a benchmark for measuring the program's success.

 2. Match Mentors and Mentees Thoughtfully

A successful mentoring relationship depends on a good match between mentors and mentees. Consider factors such as professional background, skills, interests, and personalities when pairing participants. It’s beneficial to offer some flexibility in the matching process, allowing mentors and mentees to express preferences or choose partners through an introductory meeting or event. This can help ensure a comfortable and productive dynamic. Additionally, providing training or resources to mentors on how to effectively support and guide their mentees can enhance the overall experience.

3. Establish a Framework and Guidelines

To maintain consistency and structure within the mentoring program, it’s essential to establish a framework and set of guidelines. This includes defining the duration of the mentoring relationship, the frequency and format of meetings, and the scope of discussions. Clear expectations help both mentors and mentees understand their roles and responsibilities, reducing misunderstandings and ensuring the program runs smoothly. Additionally, consider creating a mentorship agreement or contract that outlines these expectations, as well as confidentiality and feedback procedures.

4. Provide Ongoing Support and Evaluation

Supporting mentors and mentees throughout the program is crucial for its success. Offer regular check-ins, resources, and training sessions to help participants navigate challenges and stay engaged. This can include workshops on effective communication, goal-setting, or career development. Additionally, implement a system for evaluating the program’s effectiveness. Gather feedback from both mentors and mentees to assess their experiences and identify areas for improvement. This feedback can be invaluable in refining the program and ensuring it meets the needs of all participants.

Conclusion

Building a mentoring program is a strategic investment in your organization’s talent and culture. By defining clear objectives, thoughtfully matching mentors and mentees, establishing a solid framework, and providing ongoing support and evaluation, you can create a program that fosters growth, engagement, and long-term success. Remember, a well-designed mentoring program not only benefits the individual participants but also contributes to the overall health and development of your organization.

teams365 #3851: 5 Ways to Make Your Weekly Team Huddle More Focused

7/29/2024

Picture
Too many meetings have been identified as a key challenge in today’s workspace. So what can we do to make the weekly team huddle more effective? Team huddles are a critical vehicle for connecting team members, clarifying focus, and sharing information amongst the team. Here are five suggestions for making these critical weekly team events more focused:
Here are five ways to bring more focus to your weekly team huddle:
1. Set a Clear Agenda
  • Why it helps: An agenda keeps the meeting structured and ensures all important topics are covered.
  • How to do it: Distribute the agenda in advance, highlighting key discussion points, time allocations, and desired outcomes for each item.
2. Assign Roles
  • Why it helps: Assigning roles like timekeeper, note-taker, and facilitator ensures the meeting runs smoothly and stays on track.
  • How to do it: Rotate roles among team members each week to encourage participation and shared responsibility.
3. Start with Wins and Priorities
  • Why it helps: Beginning with positive achievements sets a constructive tone, and discussing priorities aligns the team on immediate goals.
  • How to do it: Ask each team member to share a recent win and their top priority for the week. This creates a focused start and highlights key areas of attention.
4. Use a Visual Aid
  • Why it helps: Visual aids like whiteboards, digital kanban boards, or project management tools make it easier to follow discussions and track progress.
  • How to do it: Display the visual aid prominently during the meeting. Update it in real-time to reflect decisions and actions.
5. End with Action Items and Next Steps
  • Why it helps: Clarifying action items ensures accountability and clear follow-through on tasks.
  • How to do it: Summarize the action items, assign responsible team members, and set deadlines. Send a follow-up email with these details immediately after the meeting.
Implementing these strategies can make your weekly team huddles more focused, productive, and engaging.

teams365 #3849: Weekly Journaling Prompt: Practicing Gratitude

7/27/2024

Picture
As we wrap up another week, it's essential to take a moment to reflect and appreciate the positive aspects of our lives. Practicing gratitude can enhance our overall well-being, improve our mood, and help us develop a more positive outlook. Use this Saturday journaling prompt to cultivate a habit of gratitude and bring a sense of appreciation into your life.

Prompt: Reflecting on Gratitude

1. Moments of Joy: Reflect on the past week and identify three moments that brought you joy. These can be big or small, such as a pleasant conversation, a beautiful sunset, or completing a challenging task. Write about why these moments were special to you and how they made you feel.

2. People You Appreciate: Think of three people who positively impacted your week. This could be a colleague who supported you, a friend who made you laugh, or a family member who showed you love. Write a few sentences about what they did and why you appreciate them.

3. Personal Achievements: Acknowledge three personal achievements from the past week. These can be related to work, personal goals, or self-care. Celebrate these accomplishments, no matter how small, and reflect on the effort you put into achieving them.

4. Lessons Learned: Gratitude also involves recognizing the lessons learned from challenges and setbacks. Identify a difficult situation you faced this week and write about the lesson you learned from it. How did this experience help you grow or gain new insights?

5. Nature and Surroundings: Take a moment to appreciate the beauty of your surroundings. Write about three aspects of nature or your environment that you are grateful for. It could be the sound of birds in the morning, the smell of fresh air, or the comfort of your home.

6. Looking Forward: Think about the upcoming week and set an intention for practicing gratitude. How can you incorporate gratitude into your daily routine? Write down one or two specific actions you will take to cultivate gratitude in the days ahead.

Reflect and Feel

As you complete this journaling exercise, take a few moments to sit quietly and reflect on the gratitude you’ve expressed. Notice how it makes you feel. Practicing gratitude regularly can shift your focus from what’s lacking in your life to what you already have, fostering a sense of contentment and well-being.

Conclusion

Gratitude is a powerful tool for enhancing our mental and emotional health. By taking time each week to reflect on what we are grateful for, we can create a more positive and fulfilling life. Use this Saturday prompt to start or continue your journey towards a grateful heart. Happy journaling!

In today's fast-paced professional world, overwhelm can often feel like an inevitable companion. The constant influx of tasks, emails, meetings, and deadlines can leave even the most organized individuals feeling stretched thin. However, with the right strategies in place, it's possible to navigate overwhelm and reclaim a sense of balance and productivity in the workplace.

Firstly, prioritize ruthlessly. Not all tasks are created equal, and it's essential to identify those that are most urgent and important. One effective method is the Eisenhower Matrix, which categorizes tasks based on their urgency and importance, helping you focus your efforts on what truly matters.

Next, break tasks down into smaller, more manageable steps. When faced with a daunting project, it's easy to feel paralyzed by its enormity. By breaking it down into smaller, actionable tasks, you can make progress incrementally, which can be much less overwhelming.

Additionally, learn to delegate tasks when possible. You don't have to shoulder the entire workload alone. Delegating tasks to colleagues who have the skills and bandwidth to handle them not only lightens your load but also fosters a sense of teamwork and collaboration.

Another crucial strategy is to set boundaries. In today's hyperconnected world, it's all too easy to be constantly tethered to work, even outside of office hours. Establishing clear boundaries around when you're available for work-related matters can help prevent burnout and ensure that you have time to recharge outside of work.

Furthermore, don't underestimate the power of self-care. Taking breaks, exercising regularly, and getting enough sleep are all essential for maintaining mental and emotional well-being, which in turn can help you better manage stress and overwhelm.

Lastly, remember to celebrate your victories, no matter how small. Acknowledging your accomplishments, however minor they may seem, can boost morale and motivation, helping you stay resilient in the face of challenges.
In conclusion, overwhelm at work is a common challenge, but it's not insurmountable. By prioritizing tasks, breaking them down, delegating when possible, setting boundaries, practicing self-care, and celebrating successes, you can navigate overwhelm with grace and efficiency, ultimately achieving greater balance and productivity in the workplace.

teams365 #3847: Teams on Thursday: 3 Things to Keep in Mind as a Team As You Ride the Waves of Change

7/25/2024

Picture
In today's dynamic work environment, change is inevitable. Whether it’s a shift in project direction, a new company policy, or external market forces, teams must navigate change effectively to remain resilient and successful. Here are three key things to keep in mind as your team rides the waves of change:

1. Embrace a Growth Mindset
Why It Matters: A growth mindset is the belief that abilities and intelligence can be developed through dedication and hard work. This mindset fosters a love for learning and resilience, essential for navigating change.
How to Implement:
- Encourage Continuous Learning: Provide opportunities for team members to learn new skills and expand their knowledge. This can be through training programs, workshops, or even cross-functional projects.
- Celebrate Effort and Progress: Recognize and celebrate both the small and significant achievements. Acknowledge the effort put into adapting to new situations and the progress made along the way.
- Model Adaptability: Leaders should model a growth mindset by showing their willingness to learn and adapt. Share your own experiences with change and how you’ve navigated challenges.

2. Communicate Transparently

Why It Matters: Transparent communication builds trust and ensures that everyone is on the same page. During times of change, uncertainty can breed anxiety, but clear and honest communication can alleviate concerns.

How to Implement:
- Regular Updates: Hold regular meetings to update the team on changes, progress, and any new developments. Use these sessions to address questions and provide clarity.
- Open Channels: Create open channels for communication where team members can voice their concerns, ask questions, and provide feedback. This could be through team meetings, anonymous surveys, or one-on-one check-ins.
- Be Honest: Share both the positives and the challenges associated with the change. Honesty about potential difficulties helps in preparing the team and building a realistic outlook.

3. Foster a Supportive Culture

Why It Matters: A supportive team culture can significantly reduce the stress associated with change. When team members feel supported by their colleagues, they are more likely to adapt successfully and maintain high morale.

How to Implement:
- Encourage Collaboration: Promote teamwork and collaboration. Encourage team members to support each other, share insights, and work together to overcome obstacles.
- Provide Resources: Ensure that your team has the necessary resources to handle change. This might include additional training, access to tools, or even external support such as counseling services.
- Show Empathy: Acknowledge the emotional impact of change. Show empathy towards team members who may be struggling and offer support. Personal check-ins and a willingness to listen can go a long way.

Conclusion

Riding the waves of change requires a collective effort and a proactive approach. By embracing a growth mindset, communicating transparently, and fostering a supportive culture, your team can navigate change more effectively and emerge stronger. Remember, change is not just about adapting to new circumstances but also about growing and evolving together as a team. Keep these three principles in mind, and you’ll be better equipped to handle whatever changes come your way.

teams365 #3846: 5 Ways to Combat Burnout

7/24/2024

Picture
Burnout is a pervasive issue in today's high-pressure work environments, affecting productivity, health, and overall well-being. Recognizing and addressing burnout is crucial for maintaining a healthy, motivated, and effective team. Here are five effective strategies to combat burnout:

1. Promote Work-Life Balance

One of the primary causes of burnout is the lack of a healthy work-life balance. Encourage your team to set clear boundaries between work and personal life. This can be achieved by promoting flexible working hours, encouraging regular breaks, and ensuring that team members take their allotted vacation days. Remote work options can also be beneficial, allowing employees to manage their work in a way that fits their personal lives. Regularly remind your team of the importance of disconnecting from work after hours to recharge and relax.

2. Foster a Supportive Work Environment

Creating a supportive and open work environment can significantly reduce feelings of burnout. Encourage open communication where team members feel safe discussing their challenges and stressors. Implement regular check-ins to gauge how everyone is feeling and to identify any early signs of burnout. Additionally, providing access to mental health resources, such as counseling services or stress management workshops, can offer crucial support. A culture of empathy and understanding can help alleviate the pressures that contribute to burnout.

3. Encourage Regular Physical Activity

Physical activity is a powerful tool in combating burnout. Encourage your team to incorporate physical exercise into their daily routines. This can be facilitated through workplace wellness programs, such as offering gym memberships, organizing group fitness classes, or even incorporating short stretching or walking breaks during the workday. Physical activity helps reduce stress, boost mood, and increase overall energy levels, making it a vital component of burnout prevention.

4. Provide Opportunities for Professional Development

Monotony and lack of growth can contribute to burnout. Providing opportunities for professional development can help team members stay engaged and motivated. Offer training programs, workshops, and courses that align with their interests and career goals. Encourage employees to set personal development goals and provide the necessary resources to achieve them. When team members feel they are growing and advancing in their careers, they are less likely to experience burnout.

5. Recognize and Reward Contributions

Recognition and appreciation go a long way in preventing burnout. Regularly acknowledge and reward the hard work and achievements of your team members. This can be done through formal recognition programs, such as employee of the month awards, or through simple, informal gestures like verbal praise or thank-you notes. Celebrating successes and showing appreciation helps boost morale and reinforces the value of each team member's contributions.

Conclusion

Combating burnout requires a multifaceted approach that addresses the root causes and provides ongoing support. By promoting work-life balance, fostering a supportive environment, encouraging physical activity, providing opportunities for professional development, and recognizing contributions, you can help your team stay healthy, motivated, and productive. Implement these strategies to create a resilient and thriving work environment where burnout is minimized and well-being is prioritized.

teams365 #3845: 5 Ways You and Your Team Can Leverage Your Strengths More Each Day

7/23/2024

Picture
In the fast-paced and ever-evolving landscape of modern workplaces, leveraging individual and collective strengths can be a game-changer. Identifying and harnessing these strengths not only enhances productivity but also fosters a positive and engaging work environment. Here are five actionable strategies to help you and your team leverage your strengths more each day:

1. Conduct Regular Strengths Assessments

Understanding your team's strengths is the first step in leveraging them effectively. Tools like the CliftonStrengths Assessment or the VIA Character Strengths Survey can provide valuable insights into the unique strengths of each team member. This knowledge supports the clarity needed around RESULTS and enhanced RELATIONSHIPS. It allows for better task allocation and enhances the overall efficiency of your team. Ensure that the results are shared openly within the team to foster a culture of mutual respect and appreciation.

2. Align Tasks with Strengths
Once you've identified the strengths of your team members, the next step is to align their tasks and responsibilities with these strengths. People are naturally more motivated and productive when working on tasks that align with their innate abilities and interests. For example, a team member with a strength in analytical thinking can be tasked with data-driven projects, while someone with excellent interpersonal skills can take on client-facing roles. This alignment not only boosts individual performance but also contributes to the success of the entire team.

3. Encourage Strengths-Based Feedback
Feedback is a powerful tool for growth and improvement. However, it’s essential to focus on strengths-based feedback rather than solely highlighting areas for improvement. Encourage team members to recognize and appreciate each other's strengths. This can be done through regular feedback sessions where positive contributions are acknowledged and celebrated. Strengths-based feedback fosters a supportive and positive team culture, where individuals feel valued for their unique contributions.

4. Foster a Collaborative Environment
Collaboration is key to leveraging collective strengths. Create an environment where team members are encouraged to collaborate and share their expertise. This can be facilitated through regular team-building activities, brainstorming sessions, and collaborative projects. When team members work together, they can complement each other’s strengths, leading to innovative solutions and improved problem-solving. Promote a culture of knowledge sharing and continuous learning to maximize the benefits of collaboration.

5. Provide Opportunities for Strengths Development
Finally, provide opportunities for team members to develop their strengths further. This can be achieved through targeted training programs, workshops, and professional development courses. Encourage team members to set personal and professional development goals that align with their strengths. By investing in the continuous development of your team's strengths, you not only enhance their individual capabilities but also boost the overall performance and resilience of your team.

Conclusion
Leveraging strengths is not a one-time activity but a continuous process that requires commitment and intentionality. By conducting regular strengths assessments, aligning tasks with strengths, encouraging strengths-based feedback, fostering collaboration, and providing development opportunities, you can create a dynamic and high-performing team. Embrace these strategies and watch your team thrive as they leverage their strengths more effectively each day.

Since 2004 I have been on a mission to expand the coaching conversation to many – to leaders, to teams, and to groups. This spring we launched the Coaching Many Podcast™, which now has four episodes in the hopper.

We explore coaching many as it relates to conversations, connections and change in personal and professional settings. You might be a group coach, a team coach, a peer coach or a leader leveraging coaching. Coaching Many is about creating empowering and thought-provoking spaces for conversation which strengthen relationships and enhance results. Throughout the Coaching

Many podcast we’ll share best in class tools, practices and approaches to support your conversations.

I hope that you will check it out on  your favorite podcast player, or check out our feed at https://www.coachingmanypodcast.com.

You can find episode 1 – What is Coaching Many? -  Coaching Many Podcast EP001 - GroupCoachingEssentials
Episode 2  - 4 Core Elements of Coaching Many - Coaching Many Podcast EP002 - GroupCoachingEssentials
Episode 3 – The Triad of Trust, Safety and Connection - EP003 TRIAD of Trust Safety and Connection - GroupCoachingEssentials
Episode 4 – It’s All About RELATIONSHIPS and RESULTS: EP004 | It's About Results and Relationships - GroupCoachingEssentials
Please enjoy, share and let me know what areas you’d like explored in future episodes!
