Time management is a crucial skill in today’s fast-paced workplace. With constant emails, meetings, and project deadlines, it’s easy to feel overwhelmed. However, by honing your time management skills, you can boost productivity, reduce stress, and create more time for the work that matters most. Here are three key considerations to help you master time management in the modern workplace:

1. Prioritize Tasks Using the Eisenhower Matrix

One of the most effective ways to manage your time is by prioritizing tasks based on their urgency and importance. The Eisenhower Matrix is a simple tool that can help you categorize tasks into four quadrants:

- Urgent and Important: Tasks that need immediate attention (e.g., project deadlines, critical issues).
- Important but Not Urgent: Tasks that are significant but can be scheduled (e.g., strategic planning, skill development).
- Urgent but Not Important: Tasks that require immediate action but are not critical (e.g., certain emails or meetings).
- Not Urgent and Not Important: Tasks that are low-priority and can often be minimized or eliminated (e.g., unnecessary social media scrolling).

By focusing on the “Important but Not Urgent” tasks, you can prevent crises and work more proactively. Regularly reviewing and categorizing your tasks using this matrix can help you stay on top of your workload and make more intentional choices about where to invest your time.

2. Set Boundaries to Minimize Distractions

In today’s connected world, distractions are a major time management challenge. From constant notifications to unexpected meetings, interruptions can significantly impact productivity. Setting boundaries is crucial. Here are a few strategies:

- Turn off non-essential notifications: Use "Do Not Disturb" mode or set specific times to check emails and messages.
- **Block out focused work time**: Schedule dedicated blocks of time on your calendar for focused work. During these periods, avoid meetings and minimize interruptions.
- Communicate availability: Let colleagues know your working hours and preferred communication channels. Clear communication can help manage expectations and reduce interruptions.

3. Embrace the Power of Delegation

Effective time management isn’t just about doing more; it’s about doing what matters most. Delegation is a key component of this. Identify tasks that can be delegated to others, freeing up your time for higher-priority work. This doesn’t mean offloading all tasks but rather empowering team members to take on responsibilities that match their skills. Delegation not only helps you manage your time better but also fosters a sense of ownership and development within your team.

By implementing these time management strategies, you can navigate today’s demanding workplace with greater efficiency and less stress. Prioritize wisely, set boundaries, and delegate effectively to make the most of your time and achieve your professional goals.

Time was spent in tasks which didn’t add the value you wanted. This might include things like – ineffective meetings, email chains which could have been more effectively dealt with.

Consider these questions for today’s prompts:

Where are you spending the bulk of your time? (If you haven’t done so, track your time using a Time Tracker. Contact me to receive a template around this so you can track your time for a week and see where your time really goes)

As you notice your time usage, what are the patterns you see?
  1. What are the activities that are truly giving you the results you want in your work? Note these down.
  2. What activities are not giving impact? What do you want to do with these?
  3. What are any items you can delegate and/or share with others?
  4.  What are the activities you need to start saying no to?
  5. What resources could help you get things done quicker, differently or more efficiently?
  6. What do you notice about the time you are spending on proactive and strategic issues (i.e. relationship building, personal development, team development, other)?
  7. What amount of time are you spending on yourself?
  8. What is the one thing you want to commit to doing this year around time? This could be something you continue to do or do differently?

#Teams365 #3117–Five areas for more time management and personal productivity

This week we’re continuing to look at time management and personal productivity. Today I’m reaching back to an older PlanDoTrack resource which is all about helping people focus on time management and personal productivity issues. What do you notice about these core areas:

Daily Focus: Creating traction is a key part of exceptional work. It’s the little steps which add up, and stack up, which I frame as “Daily  Steps + Consistent Action = Momentum” in the Coaching Business Builder and PlanDoTrack Resources.

Develop a routine that works for you – From being aware of our circadian rhythms (when we are at our best) to creating boundaries in our work, what is the routine which will work best for you?

Spend time planning and reflecting. The book is called PlanDoTrack for a reason – it’s a three stage process. We need to plan, then get into action and then reflect on what’s working and what’s not in order to track. What is your natural inclination in terms of where you spend your time. Is it PLANNING? DOING? TRACKING? Which focus is really needed in your business this year?

Schedule it – As we were discussing recently in the 21 for 21 Co-Working Series – just like Peter Drucker said “What doesn’t get scheduled, doesn’t get done”. What time are you scheduling in your calendar? Looking for a starting place? Join us for the 21 for 21 series this month.

​Connect – Remote Work can feel isolating. Be sure to connect in with others as you move forward with your work. What are you doing to be connect in with colleagues, old and new? What time are you earmarking to do this on a regular basis?

#Teams365 #3113: Team Tool #2: Time Management—Action Priority Matrix (APM)

​Yesterday, I shared one Time Management Prioritization tool for teams, that being the 80/20 Rule, also known as the Pareto Principle. Today I want to reach into Chapter 18 of Reconnecting Workspaces and share a second time management tool, known as the Action Priority Matrix:
 
Here’s what I share in Reconnecting Workspaces
The Action Priority Matrix259 is an important tool in helping team members decide what is important to focus on, as well as what activities may take time. It gets team members thinking about their activities along the continua of both effort and action (low to high) and priorities (low to high) or alternatively impact and effort. Steven Covey’s work enshrined the Urgency/ Importance Matrix.
If we look to explore the Impact and Effort framework, we can map ideas across these x and y axes.
 
Consider your current tasks and lay them out and determine whether your actions are:
 
Quick Wins: Things that are high impact and low effort. Quick wins in a team may mean completing several tasks on your to-do list that you can blow right through. Quick wins are important in creating momentum.
 
Time Fillers: Time fillers are low priority and low effort. These activities are truly “time fillers” and might include short projects like filing or quick emails. Part of time efficiency is getting these to not take over too much of your calendar. They may also be tasks that are kept in a running list and checked off as and when you have time. Fill-in activities may cycle into activities which have more urgency and could move into quick wins or major projects.
 
Major Projects: Major projects are high effort and high priority. Like with Covey’s matrix, we want to spend time focusing on these areas, ensuring that resources and time are dedicated to them. Check out Chapter 20 on project management for more on this. Major projects is an area we want to dedicate time and focus on, as it will help us in the bigger picture.

Must Dos: There are activities that are low priority but have to get done. They are things that usually take a lot of time. As important tasks, if they are not completed, team and organizational function may not work well. Activities in this category include administrative reporting or fixes to equipment. While they are important tasks in the bigger picture, due to the amount of time required, they may be activities which we look to delegate.

  • What activities are in each area?
  • How much of your time are you spending in each area?
  • What changes do you want to make?

Last year, in 2021, I also published the 90-Day Guide for Success: Pathways to Thrive in the Virtual, Remote and Hybrid Space. It’s a 90-day guide for onboarding, and re-boarding, in the hybrid workspace.
 
I thought it would be interesting to reach back to Day 18 on Time Management and some of the areas which are important to consider as you think about where your time is going. Take a look at this chart:

​What do you notice about how much time you are spending in each of the four categories?
How much time are you spending on a weekly (or monthly) basis around each of the other areas?
What are your top 3 priorities to adjust in this next month?
 
Time is a non-renewable resource. We can’t get it back so spend it wisely!

Teams365 #3110 – Time Management and Personal Productivity Myth - 24/7—It’s about working around the clock.

If you have been following the debate around remote work, hybrid work and heading back to the office, you will be very familiar with the myth that’s been busted in recent years around working 24/7 and working around the clock.
 
As I write in Reconnecting Workspaces (link to Amazon.com) “The Law of Diminishing Returns states that at a certain point, your inputs do not meet your output. In any project (writing a book, creating a presentation, writing out a new plan), there will be a point when things are “good enough.” 
 
As you consider your major projects right now, ask yourself these questions
How much is enough?
What does success look like?
What value add will there be if you dedicate another hour? Four hours? ___ hours?
What do you notice about the Law of Diminishing Return for your projects right now?
