RECONNECTING THE WORKSPACE TIP—SYSTEMS

Right now (and really, when you think about it, at all times), systems can be critical for consistency and connection. Think about your communication systems which help you connect, or your IT which helps you share information. What about the systems and automations which ensure consistency. What’s in place?

Here’s what I wrote about Systems for Consistency and Connection at the end of Chapter 7. Enjoy!

Systems ensure consistency in the hybrid and remote world so that we can be location independent. What systems are going to help people reconnect and collaborate with each other?

Systems bring fluidity regardless of what time or day we are working on it, or where we are engaging on it from. Systems range from customer service to communication, onboarding, administration to marketing. What are the systems which are going to create consistency and connection across your organization?

Social Learning Theory was conceptualized many years ago from Arthur Bandura. Since that time there has been a lot of science and research to underpin why social learning is important. Here’s what I share in Chapter 7’s Brain tip of “The Social Brain”. “Connection is a critical part of thriving in any workspace. Matthew Lieberman explores this topic in Social: Why Our Brains Are Wired to Connect. In addition to having systems and being able to work asychronously, there is value in a social network and connection.

Back in the 1970s, Arthur Bandura created Social Learning Theory, grounded in four main areas:

• Observation (environmental)—observing and learning from the context in which we operate.
• Retention (cognitive)—how do I remember this?
• Reproduction (cognitive)—how do I reproduce this? Use this?
• Motivation (both cognitive and environmental)—noticing what is motivational and what is not

In order for learning to occur, we need to create opportunities for learning on all four layers. What are you doing in your organization to focus on these four areas?”

In mid-August I did a post that got us to do a system check around core areas in your business. If you haven’t completed that, take a few minutes to lead on over to that mid-August 2021 blog post and flashback.

Today I thought it would be interesting to explore several Leadership Systems. One things that has shifted in the recent months has been the fact that EVERYONE needs systems to thrive in the remote space, not just the leader. While the leader will be responsible for setting these up, everyone on the team may be well positioned to input. “As a leader it is important to have a variety of supports to help you and you team run and soar in your work. Systems support you in streamlining and not having to reinvent the wheel all the time.  Consider these common areas leaders usually have in place"

Communication systems - Consider how the team communicates with each other - email, text,, face to face. Ask yourself:
- What's working?
- What's not?
- What are the shared agreements you want to have about how and when to communicate?
- What's the accepted norm, what's not?

Meeting systems - How are your meetings facilitated? Face to face? Where could your meetings get a tweak? Review Tems365 #211: Meeting Management Faux Pas to avoid these traps - Click here to read

Email systems - Consider how you will use email, boundaries around this and also how you want to track and file your email. Email management can take up to 40% of a leaders' time

Performance Management systems - What is the culture of performance management? Hopefully it is not once a year but it is an ongoing process and conversation with each of your team members?

Reward and Recognition systems - What do you do to reward and recognize your team members? How does each person want to be recognized and rewarded?

Whether it’s tools or checklists, it can be very important to keep everyone on the same page. This is particularly important when we are working hybrid and are in a more flexible format, where we might not all get together at the same time, and we may be focusing on work in different ways.

Here are several areas you will want to consider:

​• Goals
​• Action
• Strategic planning
• Project log
• Status update
• Milestone checkpoint: where are we and where do we want to be?
• Vision/mission/mandate meetings: What’s our vision for our work?
• Three-way midpoint meeting
• Goals, accomplishments, resources
• Matrix management checklist:
• What do we need to cover (reporting, goals, priorities)?
• What issues need to be surfaced, when, and how?
• What are the things we need to know about each other? What are our preferences for
knowledge—lots of info, less info, when to surface issues?
• How do we communicate in between issues? To what level?

Teams365 #2830 - Myth: I Need To Have All The Answers

The Chapter 7 Myth in Reconnecting Workspaces is “I need to have all the answers. I shouldn’t share what I know.”

In fact, it’s nearly impossible to know everything in the remote space. We need to be able to collaborate with others to get a big picture and this usually involves sharing what we know.

As you consider your work, where would you benefit from more sharing? What information do you feel you need in order to your work? What is important to note about information flow?

There is an important skill to thriving in the remote space which is being comfortable with not knowing. Many of us have learned how to be more at ease when we don’t have the entire picture, and we aren’t clear on everything. What do you notice about the strategies you employ to get clearer on things?

Principle: Lowest Common Denominator. Everyone needs to know.

The Principle of Chapter7 is find the Lowest Common Denominator. Particularly in a hybrid team it is important that we find the common ground, boosting connection and inclusivity.

The lowest common denominator can play out in several ways including:
What is the best platform for us to meet on? This is important if different team members have constraints with connection and/or equipment.
What is the best time for us to connect? Consider this particularly when you are always meeting at the same time.

What does “Lowest Common Denominator” mean for you as a team? What’s important to note?
