Well another month has slipped by and it’s time to focus in on how this last month went. How did the “last mile” of November fare for you? What are you needing to carry forward to the new month?

In this month’s last post of the month, it’s an opportunity to focus in on what you did accomplish and earmark items for the final month of the year. What do you want to and need to pay attention to as you move into the final month of the year?

Here’s several questions to get you thinking about this month end:
  • What were my major achievements this month?
  • What “last mile” activities did I get to complete? What’s still on the list to complete before year end?
  • What do I want to celebrate?
  • As I consider my goals (and resolutions) I made at the start of the year, how am I doing with these on a scale of 1-10? Which ones are becoming new habits or something I can check off?
  • Which ones need to be let go of?
  • As a leader, what have I noticed about my team this month?
  • As a leader, what notes should I make about performance issues (if I haven't done it already!)
  • The thing that has helped me be most productive this month has been ______
  • The thing that has helped me be most successful this month has been ______
  • The thing that has helped me be happiest this month has been ________
  • The thing that has helped me be most healthy has been _______

As I think about the summer overall:
  • My biggest accomplishment has been....

TEAMS365 #2160 – Flashback Friday: Bringing Projects to A Close

We’re just a few days away from the start of December and this is the time of year when EVERYTHING needs to get done. With that in mind, I thought it would be useful to take a look back at last year’s post about Bringing Projects to a close from Teams365 #1794. Here you go: 

“At this time of year, the clock is ticking and it may now be GO TIME to get projects across the finish line. Where there was once time and leeway, now things need to get done and completed. What is it going to take to get the project completed before the end of the year?

To bring the project across the finish line consider:
  • What is it going to take to bring this project to a successful close?
  • What resources are needed? Do we need to pull new resources?
  • Are there any lessons learned from other projects that we can incorporate?
  • Are there any specialized, or talented, human resources we can bring in at this time to move the project quicker? Are there experts or seasoned team members who can complete tasks more quickly than others?
  • What elements can be completed consecutively? We often think that tasks are sequential (i.e. this has to be done before that), when in fact, we might be able to complete some tasks consecutively.
  • What does complete look like? Think about quality and scope. Are we still within the original scope of the project, or has there been scope creep?
  • Do we want to reconfirm project requirements, checking for any assumptions which may not be correct?
  • What can we do to minimize distractions and focus on what is really important? Are there some tasks which need to be devolved from those on the project team so they can focus 100 % on the task at hand?
  • What does project close out look like?
  • How can we capture the learning so we don’t repeat these cycles next time?
  • What’s going to help your projects move to completion phase quickly?”

TEAMS365 #2159 – Thursday November 29: Team Building Tip 263: Remote Work Enabler: Expectations

​It’s Thursday and while some are celebrating Thanksgiving, many of us have a regular day of work. This week’s Team Building Tip is a “Remote Work Enabler”. Throughout the upcoming weeks I’ll be including a number of special items to keep in mind to help your remote team THRIVE, not just SURVIVE!

The first remote work enabler I wanted to point to was that of expectation. In a remote team, we may be part of multiple matrix relationships, which makes it even more important for us to be clear on our expectations about HOW THINGS ARE DONE.

Teams can benefit from taking time to create a WAYS OF WORKING, or Team Agreements about how they will operate together.

What are the team expectations around?:
  • Showing up for meetings
  • Focus at meetings
  • Being prepared
  • Being punctual
  • Quality of work
  • Surfacing issues
  • Addressing difficult conversations
  • How you interact with each other
  • Share information
  • Connect with others outside of the organization
  • Participate in ongoing learning

Each one of these could spark a conversation around multiple factors.

When expectations are not clear we run the risk of doing things differently, having varied output, and most importantly, creating assumptions that might not be founded. These can have the most detrimental impact in the long run.
As a team, what do expectations do you want to make clear?

Tomorrow many readers will be celebrating Thanksgiving and it’s an important time of year to pause and say thanks. As I’ve shared in other blog posts, getting into the habit of gratitude can have multiple health impacts. There are a few articles which do a great job referencing the many benefits of gratitude including:
  • 7 Scientifically Proven Benefits of Gratitude by Amy Morin. In this article Amy references that gratitude plays a role in improving Self Esteem. A 2014 study published in Journal of Applied Sport Psychology found that gratitude “Enhanced athlete’s self-esteem”.
  • Releasing dopamine, one of the feel-good chemicals. When we undertake acts of kindness, and practice gratitude, dopamine is released. (from the Health Benefits of Gratitude: 6 Scientifically Proven Ways of Being Grateful Rewires Your Brain + Body for Health) 
  • Check out Happier Human’s post on the 31 Benefits of Gratitude. It’s a great read.

TEAMS365 #2157 – Getting Prepared to Wrap Up & 2020 Vision

As we arc towards the end of the year, it’s time to focus in on our 2020 vision. I’ve been enjoying hosting a number of events in the last few weeks around visioning for the new year, and new decade.

If you weren’t able to join us last week for the 2020 Vision session, please check out the recording here. You can download an associated worksheet here as well. The session will take about 30 minutes to go through.

Having a vision is important for a number of reasons. Our vision is important as it can help us to:
  • Move through the ups and downs of everyday business. It can provide an anchor when things are turbulent.
  • Stay focused and make decisions. It may make it easier to say yes to things that align with where we want to go and say no to things that are out of range.
  • Pull us forward and motivate us when things are not working well.

Today’s post also serves as an opportunity to pause and take stock of where things are at. What are the things that need attention and need to get done before the end of the year? Is there anything you haven’t yet accomplished that you do want to put attention on?

TEAMS365 #2156 – Effective Virtual Conversations Tip #121: Remote Team Tip: Keep It Consistent

It’s Monday which means that it’s time for another Effective Virtual Conversations tip. This week’s tip is a remote team tip. 

A 2018 survey carried out by Indeed.ca found that 65% of employers surveyed found that their employees were more productive when working remote. While many employees want to work remote for flexibility reasons (less commute time, more focused break, being able to navigate caretaking responsibilities), some remote workers may be concerned that they are less visible.

I’ve been enjoying working and writing more in this topic area of remote work and if you listen to podcasts, I would invite you to connect in to the new Remote Pathways Podcast I am co-hosting with Michelle Mullins.

In the remote space, consistency is key. When we see things through micro-windows (i.e. the short amount of time we are on the screen) and given the vast balance of time spent working individually and alone, CONSISTENCY can take on a new level of importance.

On a remote team level, consistency can include a focus on consistency as it relates to meetings, process, procedures, systems, and communication.

Consider:
  • Meetings - How often are you meeting as a team? It can be beneficial to get in the habit of holding meetings consistently. For example, every Tuesday morning at 9 am ET. For those on the west coast it may mean an earlier start time, but people can start to plan their day and schedule around this. Booking in advance can help to anchor and protect those time windows.
  • Process and systems - Consistency is key for a remote team, spread across multiple levels. Investing time in clear processes and systems ensure a consistent output and standardization across a team. We know that it’s important for team members to have shared goals and performance measures. What do you need to look at as it relates to creating consistency around process?
  • Procedures - Related to process, there may be procedures which need tightening up, as the team grows and expands. Consider reporting and sharing of information. What are the things that need to be looked at?

Communication is most likely the one that can benefit from the enhanced focus. Consistently communicating messages that are important is key, especially when team members may have different preferences in terms of how they connect in. What do you notice about communication needs and preferences?

#Teams365 2155: Week In review   - Last Mile, Systems, and Black Friday Specials

Before we get there, a couple of exciting announcements:

First, the Remote Pathways Podcast which I am co-hosting with Michelle Mullins is going live this week. The podcast will follow the people, places and pathways of remote work. We're exploring the landscape of 12 types of remote work - from professional coaches, to project managers, sales professionals, to those attached to larger offices working remote several days a month, to remotepreneurs.

My writing around Remote Pathways and the Digital Dozen started this past summer as part of a literacy fundraiser is was part of called the Muskoka Novel Marathon. It's exciting to see how that writing set the seeds for the podcast and also a guide for new remote workers which will be published in 2020. Stay tuned.

  • What are the new experiences you are having? How are those shaping you?

Some teams will start winding down in the next while. Before it gets to be the last minute, it can be useful to schedule some time to do a formal team wrap-up. Here are several questions you may want to ask/discuss. They were originally shared in my earlier Teams365 blog post.

Here are six questions to be asking yourself and your team to finish off on a "high note":

1. What projects need to be completed prior to the end of the year? What will it take to wrap these up?
2. What, if anything, needs to wound down before the end of the year - processes, accounts, reports?
3. If we need more people power on a project before the end of the year, what do we let go of?
4. Before we disband for the holidays, what lessons learned and recommendations for next time do we need to capture?
5. What new habits do we need to develop as we get back to work in January?
6. What do we want to celebrate?


What else do you want to make sure you have dialogue about before the team starts to disband for the year?

TEAMS365 #2152 – Team Building Tip #262: What's Getting in the Way?

This week’s Team Building Tip gets you to consider the question – “What’s getting in the way?” As a team, what are the things which have obstructed you from what’s really important?

It’s at this time of year that we may become really clear about the SHINY RED OBJECTS which have become an alluring focus but may not have translated to business results. OR WAIT? Have they?

It can be important to think about activities not only from an immediate impact, but also in terms of the longer-term activities and seed-planting work which needs to go into bigger projects. For those reading the Teams 365 blog who are solopreneurs you will probably know what I mean. Many times, we take on creative projects which may not be revenue generating but actually are key in moving the business forward. The challenge is to make sure that there is a good balance between those activities which need to happen NOW and generate revenue, as well as those activities which are key to business growth but may only pay off in the long run.

This week consider the question – What’s getting in the way? Is it a closed road, or an important detour?
