#TEAMS365 #1940 – Team Springboard – Virtual Co-working sessions

​This week’s Team Springboard gets you thinking about the value and practice of virtual co-working sessions. For those that are remote workers, a virtual co-working session might connect people on zoom or Skype for a one -hour or half-day session where team workers work live throughout the session, or meet at the top of the hour, checking in on progress.
​
These virtual co-working sessions can provide many benefits including:
  • A focused time to get things done – when was the last time you scheduled a block of time that was “meeting free” to get things done?
  • Making a list of things that just need to get checked off
  • Using the power of peer accountability in ensuring that you do what you say you are going to do in short bursts
  • Connecting with others – the isolation effect of remote work can wear on many remote workers. This isolation may lead to a lack of focus, prioritizing “house” items over work items etc.

Questions to consider:
  • What would be the benefit of scheduling a virtual co-working session?
  • When could you put a 1-4-hour block in the calendar with one or more colleagues?
  • What would you put on your “To Do” list?

#TEAMS365 #1715  - 10 Things to Do with Your Team #2 (tips 4 –6)

Last week I started a four-part series of blog posts on 10 Things to do with your team. If you didn’t catch Wednesday’s post on ideas one through three, catch up on them here. 

Today I wanted to cover 3 more things:

Area #4 – Mapping out key work flows – Many teams today, especially virtual teams, don’t have a good sense of how work fits together. This is an important area to explore at the macro-level with remote and virtual teams, given the “domino effect” that can happen across a team when one person does not complete work on time, or as planned.
As a team you will want to consider key activities projects you have until the end of the year. One at a time, map out the key tasks of the project or activity. What’s the sequencing? Who is responsible for what? What needs to happen before the next person can start, or complete, the work? 
As you map this out  - and it can literally be a mapping on a white board or white screen, or a set of post-it notes – identify
​
Area #5 – Role Clarity
Going hand in hand with work flows, and what people are doing, is clarifying with team members their roles. This is often one of the areas teams struggle with the most. It is common for roles to be undefined, duplicative, and gaps may exist.
In clarifying roles, you may want to consider these types of questions:
  • Who does what on the team?
  • Where is there overlap?
  • Where is there a gap?
  • What are the areas which are not being covered?
  • Is everyone in the right role (i.e. are people’s strengths being leveraged? Consider who is good at getting things done vs. planning, starting things vs. wrapping them up)

#TEams365 #1505: TEAM TOOL: Relationship Mapping

In today’s interconnected world, many of us have to interface with a wide variety of both internal and external partners. From members of other teams, to our customers/clients, to other agencies and organizations. Given that teams, not just leaders, are responsible for relationship development, it can be  useful to get the team attuned to what their key relationships are internally and externally.
This is an activity you might consider doing as part of your next team meeting.  You’ll see one of my own relationship maps for my business here.
Instructions:
Using a whiteboard place a circle on the board first, with the name of your team. First make a list of all the potential people you partner with. Select one color marker for internal team partners and one for external team members.  One at a time, map out how close you are to each of these internal and external relationships. IF it is a close relationship place them closer towards your circle, if they are further away place them further away.
Have people indicate what is important about that relationship – is it a relationship which enable you to do things, do you get important information from them, do they provide resources etc? Also note for each relationship what needs attention.
Seeing these interconnections visually can bring to life the relationships, helping people understand how much they are part of a web and dependent on others.
