Yesterday we looked at Motivation, which has an impact on our productivity, satisfaction and even priorities during the day. What motivates each of us is likely to be different, and when we are part of a team, or are a leader, understanding what motivates each person is a key part of success.

Today I wanted to take us into the heart of a model I created around motivation which I share with others called the CLAIMS model to motivation™. These six categories help us identify and discern what gets us going, which can be valuable when we are looking at prioritization, engagement and satisfaction in the workplace.

Today I wanted to dive into the CLAIMS Model to Motivation, which gets us thinking more specifically about WHAT motivates us and how each one of us is a little different in our motivational factors. Lets’ take a look at this model to motivation I first introduced in Reconnecting Workspaces and the 90-Day Guide. 

As you think about these factors to motivation, what are your levers? Here is the CLAIMS Model to Motivation:

C—Community. We want to be part of a bigger whole. Some call this belonging. In this work, it’s about relationship development, communication, and strong team culture.

L—Learning. Ongoing learning is critical for success within the remote workspace, particularly as teams today are fluid and ever changing. What are the different ways you want to learn? To contribute?

A—Autonomy. Remote work is not short on autonomy. When clarity exists, remote workers can focus in on what’s important.

I—Impact. What’s the impact you want to make? As remote workers, we often measure our impact through our output (what results we get). Don’t forget that it can also be measured through the influence we have over others, and how we build a sense of community and team.

M—Money. Monetarily, what’s important?

S—Status. What is our role? Learn more about status and think about how it fits in the remote space.
 
What are the elements that motivate you? What’s important to note? Consider both the internal and external motivating factors

Motivation is at the heart of great work. I’ve written a lot about this topic, given it’s so central to performance on the individual and collective level for teams. In fact, in Reconnecting Workspaces I share the CLAIMS Model for Motivation™. More on that tomorrow – 

Today I wanted to take us into the heart of Day 19 of the 90 Day Guide for Success Which explores the topic of motivation. Sometimes we feel like things are not quite flowing in our work or others. In addition to the taks not being clear, it may also be a red flags around motivation. 

Note when these things are happening. They may be a signal that something is afoot:
• Procrastination
• Lack of focus
• Missing deadlines
• Not getting all the details/requirements around a project
• Withdrawal and changes to your schedule

Motivational issues are critical to address and/or discuss with your leader and/or mentor. It is important to do so as early as possible, given the self-directed nature of the remote worker’s world.


What elements are going to keep you moving forward with your work? Motivation has several components —internal and external factors. 
Ultimately motivation is about:
• What’s going to get you out of bed in the morning?
• What’s going to keep you moving?
• What gets you excited about your work?

Self-motivation can be critical for remote workers, given that we are working in isolation and many issues get magnified.

What inspires you? What helps you go “above and beyond”? When do you know it’s time to stop?

Motivation is an even more important topic for the remote and hybrid workspace, compared to an in-person environment. Our own internal motivation is often our oxygen. It’s what helps us move forward, as well as arrests us. What would you say your motivational factors are?

We often talk about the Big Five in motivation. They are remembered by the acronym OCEAN (openness, conscientiousness, extraversion, agreeableness, and neuroticism).

Other motivational frameworks include Daniel Pink’s framework of being motivated by Autonomy,  Mastery, and Purpose. What things motivate you as a remote professional?

Did You Know?
What makes you feel like you belong or don’t belong?
• Sense of purpose
• Sense of mission
• Sense of connection to others
• Clarity about your work—what you need to do, how you need to do it
• How your work impacts others
• What contribution you are making to others
• How you are learning and growing—as a remote worker, professional, and human being

SO WHAT?
Two layers of motivation around remote and hybrid work include our Why and the How:

Motivation of why we want to work remote. There are many “drivers” or reasons why people want to work remote, including:
• Flexibility, ability to juggle multiple projects or clients
• Wanting to avoid the commute

Take time to identify what your Why factors are. Why do you love remote work? What motivates you in the remote space? Make a list of motivators, as well as de-motivators such as loneliness, less visibility, etc.

Motivation for how to do work. Knowing the latter helps us when our well runs dry and we need to find ways to get ourselves out of a slump. 

According to the approaches identified in a 2017 study by Grenny and Maxfield of more than 1,100 remote workers, the following elements were found to provide more support for remote workers. This included:
• More frequent 1-1 time
• Explicit expectations
• More face-to-face or voice-to-voice time
• Prioritizing relationships
• Being available

Motivation and goals. 
Motivation also links back to the topic of SMARTE Goals we explored earlier in this series, which is the focus of Day 8 in the 90 Day Guide for success.

In my writing, I talk about the importance of creating SMARTE Goals; in addition to SMART goals, we want to make sure our goals are exciting (the “-E” part). If they are not exciting, it’s unlikely that we are going to follow through and work on them.

What can we do to make sure our goals are exciting?
• Go to the big picture—a year from now, how can this help move your career forward?
• Think about how it will help you learn, grow, change.
• Consider what is important in terms of the bigger picture, our legacy or our impact.

teams365 #3660: Day 18  Boundaries and Parkinson’s Rule

What happens when you have all the time in the world bt have a running task list? Do you leisurely approach your work but find that it never gets complete, or do you set a timer so you get things done, leaving the office and able to enjoy your life?

The notion that “tasks expand to the amount of time we give them” is the principle behind what is known as “Parkinson’s Rule”. It’s something that I have practiced as a professional for many years, and what enables me to “Get a lot of things done”. While it’s not for everyone, for those of us that juggle roles, and even with practicing the 4 D Model there is still a lot on our plate, the 4 D model can really help us get on top of things, rather than get buried with things.

Boundaries are key to success and thriving in the very fluid remote and virtual workspace. Whether we are juggling multiple tasks, or roles (business owner or leader, parent, etc), being clear on boundaries can mean the difference between getting by and thriving.

There’s an old project management adage, known as Parkinson’s Rule, which asserts that tasks expand to the amount of time we give them. In other words, if we set a deadline of getting something done by end of day tomorrow, we’ll get it done. Conversely, we could have fixed another deadline of early next week, and the task might have stretched out to then as well.

Parkinson’s Rule may be something you have seen at play in the 21 for 21 Virtual Co-working series. Day after day I am hearing about how people find they do get what they had set out to do in the 21 minutes complete. For many this is a surprise and several have noted that it would have taken more time to do on their own without the 21 minute time window boundary.

At a macro-business level, considering our start and end dates is critical in juggling multiple projects. From program and product design, to administration and finances, to actually coaching, there are a lot of varied tasks which make up a successful coaching business.

teams365 #3659: Day 17 – Create a Running Task List

Yesterday's post introduced the 4D time management model. And I wanna know, have you had a chance to into create a running task list? What is a running task list, you ask? It's simply a list of all the tasks that are needed in order to complete. Projects, activities, etc.
Here’s what I wrote about the Running Task List last January – 

What’s on your running task list? This year my personal theme is SIMPLIFY. With that, paring down “open loops” of tasks which are not complete has been a key part of clearing space. As I started to tackle some of the projects that were weighing me down, I realized that they included things that really wouldn’t take too long if I delegated or outsourced it. 

Taking time on a regular basis (perhaps weekly, bi-weekly, monthly or quarterly) can be invaluable to keep thing moving on the personal and professional levels.
A couple of years ago I hosted the 21 for 21, a series of 21 minute co-working sprints which ran for 21 days. Over the course of 3 weeks things really got one in these micro-windows of time. Together, the 21 minutes a day, over 21 days added up to move than 7 and a half hours of found time – really a full day of work! Over the course of the 21 for 21 sprints people completed websites, edited books, even used the time to reach out to lost contacts.  

From the 21 for 21 came a great template for developing a Running Task List. I want to share that with you today. Take a few minutes to DOWNLOAD the Running Task List here, and let me know how you use it. Take a photo and tag it with #PlanDoTrack (the name of my panning system) as this is a key part of planning.

teams365 #3658: Day 16 – Apply the 4 D model to Time Management

I speak a lot about time management as a coach, and one of the models which resonates with a lot of the audiences I speak to is known as the 4D model. It's a very simple yet powerful model for time management. Here's how it works.

Number one, we want to take a moment to make a list of everything that we need to do for the week, the month, etc. As we look at the list, we then want to apply some discernment #1. What are the tasks we need to do? Check those off. 

#2 What are the tasks we can delegate? Delegation is not just about pushing our work off to someone else. Rather it is about linking tasks to people who can benefit from them. For more on delegation checkout. 

#3 what are the tasks we can defer? Maybe there are activities which could be done in quarter 2 instead of right now. Make a list of those and write them down. 

#4 what are the tasks that simply need to be dumped. These might be low value tasks, things that we think we need to do, should do, want to do. 

The 4D model to time management is really valuable and can help us move forward in our work.

teams365 #3657: Day 15 – Creating Habits and Routines

Welcome back to another week of the 24 for 24 – 24 quick ideas geared to get you thinking, and working differently. Whether you are seeing this at the start of the year, or sometime during the  year, if you’ve been following along for a few days, I hope you will keep going.

Today’s focus is on habits and routines. We know that it takes a lot longer than just a few days to develop a habit. In fact, Gloria Mark found with her work that it takes upwards of 60 days to develop a new habit.

Habits are important for a number of reasons. Nubmer 1 they create consistency and stability when there may be a lot of change on the go. This provides us with more traction and safety, especially in disrupted environments.

This year I’ve introduced two new routines which are becoming habits gradually:
#1 – Introducing a 24 minute a day decluttering. As some of you know my theme last year was simplify for  magnify. Downsizing to make things easier. My son headed off to college and it was time to move to a much smaller venue. I love living in 1200 square feet on two floors overlooking a lake every day, and I’m still in the process of unpacking and sorting through the 1800 square feet which moved with me. Having a 20 year old business created a lot of paper and files and books – some of which I still need, some which can be archived and some which can be tossed. 24 minutes a day is helping me methodologically sort through this and other possessions which have also included my parent’s belongings as well.
​
#2 – etting back to my own roots and routines as a planner. As you have heard me say, and see me write, 10 minutes of planning avoids 2 hours of unfocused effort. While I have more time to dediated to work, I want to use that extra time to travel, and pursue my hobbies. I’ve reintroduced more planning windows in my day and week – starting work on Mondays early again after going through the fall feeling pressured each Monday morning, and taking time on Friday afternoons to reflect on the week, and plan for the new one. This coupled with the planning I did in November and December is already paying off, creating more ease, flow and grace in content creation AND program planning.

Today I’m bringing us to a mantra I’ve been sharing since 2018 with the launch of my workbook planners, PlanDoTrack and Coaching Business Buider – that  of “Daily Steps + Consistent Action = Momentum”. I remember one of my VA’s (Virtual Assistants) a few years ago asked me to share what this really meant. It led me to write the following blog post:

The tagline for the Coaching Business Builder and PlanDoTrack is “Consistent Action + Daily Steps = Momentum. In other words, it’s the small daily, consistent actions that add up over time to create movement and/or momentum in our business.
​
For many years throughout the 90 Days Success Program (2005 onwards), and more recently the Coaching Business Growth Lab, I have shared the One Percent Business Rule. This framework is grounded in the notion of taking daily steps towards your most important goals.

In business today it is likely that we are working on important projects around the margins of our work and life. This is how each of my book publications has been birthed, and it’s how most of my presentations and program designs get built.
 
As you engage with the notion of Consistent Action + Daily Steps = Momentum, consider these questions:
  • What is the most important goal to be working on right now?
  • As you chunk it down, what are the smaller packets of work that make this up?
  • What are the tasks and activities which need to get done?
  • What are the consistent actions you want to undertake?
  • What can daily steps look like to these blocks of work – this week? This month?
  • What momentum will that create?
  • What will that momentum feel like?

teams365 #3654: Day 12 – Flexibility

For many years my work as a leader was in building teams, usually projects teams which would be deployed for specific projects in often short time windows – 3-6 months. These teams operated in highly fluid contexts, where change occurred all the time. This often meant that people were having to learn always (see yesterday’s post), and we often faced with things they did not know. I was well known for my interviewing question of “tell us about a time when you demonstrated flexibility and adaptability”.

We operate in an era where flexibility and adaptability and highly sought after traits. They are not skills which are easy to learn, rather related to mindsets and practices.

Here’s a quick post entitled - lexing Your Work Muscles: A Guide to Cultivating Professional Flexibility

In the dynamic landscape of the modern workplace, adaptability and flexibility are indispensable traits. Embracing a flexible mindset and adopting versatile approaches to work not only enhances personal growth but also fosters a resilient and agile professional environment.

First and foremost, developing a flexible mindset is crucial. Embrace change as an opportunity for growth rather than a hurdle to overcome. Recognize that unforeseen challenges can be catalysts for innovation and improvement. A mindset that views setbacks as learning experiences encourages adaptability and propels you forward in your professional journey.

Approach problem-solving with a flexible strategy. Rather than rigidly adhering to predefined solutions, remain open to alternative approaches. Collaborate with colleagues, seek diverse perspectives, and be willing to pivot when necessary. This adaptability in problem-solving not only facilitates creativity but also establishes a foundation for effective teamwork.

Time management plays a pivotal role in professional flexibility. Prioritize tasks, but remain adaptable to shifting priorities. Embrace the agile methodology by breaking projects into manageable iterations, allowing for adjustments based on feedback and changing circumstances.

Cultivate a habit of continuous learning. Stay informed about industry trends, technological advancements, and evolving best practices. A commitment to ongoing education ensures that you remain adaptable and well-equipped to navigate the ever-changing professional landscape.

In conclusion, fostering professional flexibility involves cultivating a mindset that welcomes change, adopting adaptable problem-solving approaches, managing time effectively, and committing to continuous learning. By incorporating these principles into your work life, you'll not only become more flexible but also position yourself for success in the dynamic world of work.

Learning has been at the heart of my work since I started as a teacher back in 1985. Just a few days ago as I was going through yet another box of memorabilia I came across my original Lifesaving instructor card. Since that time, my focus on learning has grown even more, underpinned during my undgrad studies at McGill with my focus on Cognitive Psychology, as a grad student and my focus on Critical Education and SocialcChange, and then post grad studies in performance improvement.

Learning Always is a mantra we operate by here at Potentials Realized, striving to create rich learning environments. 

In a world which is ever changing, Learning is fundamental to success. What are you doing to learn both formally through courses (online, in person) as well as informally through connections with Mentors, Peers, and others?

Margaret Lee Runbeck wrote: "Learning is always rebellion. Every bit of new truth discovered is revolutionary to what was believed before". 

​In today's VUCA world (volatile, uncertain, complex and ambiguous) learning has taken on new meaning. We need to engage in learning every day, unearthing our assumptions and challenging the way we have always done things.
