- Clarify the Purpose: Understand and communicate the reason for the huddle. Whether it's to enhance communication, streamline processes, or boost team morale, having a clear purpose keeps the meeting focused and meaningful.
- Align with Team Goals: Ensure that the huddle's objectives are aligned with the broader goals of the team and organization.
WHEN: Frequency and Timing
- Determine Frequency: Decide how often huddles will take place—daily, weekly, or bi-weekly. The frequency should reflect the team's workflow and needs.
- Choose Optimal Timing: Select a time that works for all team members, preferably when everyone is available and at their most alert. Keep huddles short (15-30 minutes) to maintain engagement and efficiency.
WHERE: Location and Medium
- Select a Venue: Choose a convenient and comfortable location for in-person huddles. For remote teams, use reliable virtual meeting platforms.
- Ensure Accessibility: Make sure all necessary technology and resources are available and functioning properly.
WHO: Participants and Roles
- Identify Attendees: Typically, all team members should attend the huddle. Occasionally, specific stakeholders or experts may be included.
- Assign Roles: Designate a facilitator to guide the discussion, a timekeeper to ensure the meeting stays on track, and a note-taker to record key points and action items.
HOW: Process and Structure
- Start with a Check-In: Begin the huddle with a quick round of updates or a brief icebreaker to set a positive tone.
- Review Agenda Items: Follow the agenda, allowing each team member to share updates, discuss progress, and raise any issues.
- Encourage Participation: Foster an inclusive environment where everyone feels comfortable contributing. Use visual aids, collaborative tools, and encourage questions and discussions.
- Summarize and Assign Action Items: Conclude the huddle by summarizing key points and assigning specific action items with clear deadlines. Ensure everyone knows their responsibilities and next steps.
