Here are five ways to bring more focus to your weekly team huddle:
1. Set a Clear Agenda
- Why it helps: An agenda keeps the meeting structured and ensures all important topics are covered.
- How to do it: Distribute the agenda in advance, highlighting key discussion points, time allocations, and desired outcomes for each item.
- Why it helps: Assigning roles like timekeeper, note-taker, and facilitator ensures the meeting runs smoothly and stays on track.
- How to do it: Rotate roles among team members each week to encourage participation and shared responsibility.
- Why it helps: Beginning with positive achievements sets a constructive tone, and discussing priorities aligns the team on immediate goals.
- How to do it: Ask each team member to share a recent win and their top priority for the week. This creates a focused start and highlights key areas of attention.
- Why it helps: Visual aids like whiteboards, digital kanban boards, or project management tools make it easier to follow discussions and track progress.
- How to do it: Display the visual aid prominently during the meeting. Update it in real-time to reflect decisions and actions.
- Why it helps: Clarifying action items ensures accountability and clear follow-through on tasks.
- How to do it: Summarize the action items, assign responsible team members, and set deadlines. Send a follow-up email with these details immediately after the meeting.
