#TEAMS365 #1950 – Flashback Friday – To PDT Blog

This week our Flashback Friday post takes us over to the sister blog, PlanDoTrack. Earlier this year, I launched a second workbook planner, this one geared for virtual and remote professionals and teams. As some of you may know, last summer I launched the Coaching Business Builder Workbook and Planner, an analog planner and business development resource for professional coaches.

Based on requests from the virtual and remote teams I work with, I customized the PDT planner for the world of the virtual and remote worker – entrepreneur, team leader or team member.  As I bring awareness to this new resource, I will be highlighting some of the companion PlanDoTrack blog posts. Do be sure to check them out there.

Here’s a recent one which will be of interest to all virtual and remote workers on Building Peer Support across your virtual team. You can read it here. 

Part of successful work in a context which is uncertain and highly volatile is being able to leverage relationships. We don’t know what skills and connections we might need. That’s where peer connection can become as important, if not more important, than your relationship with your direct supervisor.

Here’s what I wrote about different ways we can be fostering more peer support across our teams:

It’s likely that your virtual and remote team may not get the support they need. As I often write “Out of sight should not equal out of mind”.

In a virtual and remote team, it can be very useful to provide peer support across the team. This might include things such as:

Mentoring pairs – If there are certain skills people want to develop, is there a way to create mentoring pairs across the team?

Peer partners - A valuable activity can be assigning peer partners across the team on an annual basis. Whether formal, or informal, having a partner people can meet with and ask questions to, can be valuable in sharing learning.

Job shadowing – Another interesting, and valuable, experience can be job shadowing virtually, where a more junior person is paired with a more senior team member. They may shadow meetings virtually and learn more about the behind the scenes work experience by co-working virtually. Consider how you might create a “take me to work day”.

Formal coffee break/meal sharing time – We learn a lot from each other informally. What are the informal pauses you can create for the team? This might involve coffee breaks where people can drop in for a chat once a week or every few weeks, or a lunch time potluck.

Co-working experiences - Where people bring projects they are working on and work together real time on a virtual platform like zoom, checking in at the top of each hour and working for several hour bursts. A session held like this once a month or more frequently can be incredibly valuable in terms of “getting things done” and also supporting learning across the team.

What are the different ways you can build in more virtual connection time across the team? This is critical for building your team culture.

It’s hard to believe but here we are at the end of another month. I hope that you will take some time to build in a reflective pause to consider:
  1. What have your major accomplishments been this month?
  2. What goals have you achieved – for the month? The quarter? The year?
  3. What habits and practices have helped you? what got in the way?
  4. What projects have started? Ended? Will continue?
  5. What resourcing has been useful? What else do you need to be successful?
  6. What relationships are important to focus on going forward?

Looking ahead to May:
  1. What are you top 3 priorities?
  2. What are your top 5 goals for the month? (Be sure to note these on your Month in Focus, and Your Monthly To-Dos in the PlanDoTrack)
  3. By the end of May, what do you want to make sure you have achieved?
  4. What are the daily steps or consistent actions you want to undertake?
  5. What relationships are important to foster?
  6. What are key tasks that need to get done? (Write these in the Monthly To Do List is you have a copy of the PlanDoTrack)

#TEAMS365 #1919 Quarter 2 Checkpoint for Your Team – 10 Things to Explore

As we step into Quarter 2 it can be useful to do a bit of a review – on the individual level, and also with our teams.

For some individual reflection, take a look at the recent Quarterly Reflection Worksheet I created for the PlanDoTrack series of programming I offer around Planning, Productivity and Remote/Virtual Teams. Take a few minutes to complete that before you get too far into the month.
​
At the same time, it can be useful to do a checkpoint around these items:
  1. How are we going in our progress to our most important goals? Rate this on a 1-10 and get input across the team?  What will help you move the #s upward?
  2. Have we had a recent feedback conversation “both ways” – between leader and team member? What’s going well? What’s not? Be sure to provide positive and constructive feedback.
  3. What issues need to be addressed, or have the potential to derail us?
  4. What team practices are working well? Consider meetings, social events, peer mentoring, 1-1 meetings etc.
  5. What systems are helping with information flow and knowledge sharing?
  6. Projects – Where are projects at? What is the status of communication? What project issues require attention? How are they doing according to the spotlight (Red, Yellow, Green)? –Check out this spotlight blog post for more!
  7. Matrix relationships 
  8. Reporting
  9. Finances
  10. Other Systems which need attention..
And ANYTHING ELSE?

Over the last few years I have written about a number of virtual team resources I think you will find interesting and valuable.

​Welcome to the 13th weekly video montage for the #90DaysPlanDoTrack. Since September I have posted a different quote or image at the CoachingBizBuilder Instagram feed. We’ve put them together to give you a different way to look at things. 

Last year around this time I started pulling together the materials that would ultimately become the PlanDoTrack Workbook and Planner for Remote and Virtual Professionals. 

Given years of leading corporate sessions and virtual retreats on productivity issues, it was quite easy to weave together materials clients and teams had said were very useful. Since 2017 I had also been sharing different planning tools via the Teams365 Productivity Newsletter, now renamed PlanDoTrack Newsletter (join us here for this monthly e-news blast). Expanding on these initial tools, the PlanDoTrack workbook and planner includes 28 different planning tools - from Monthly Trackers, to content tools, to quarterly planning tools. It's an analog, hard-copy, planner given that for remote and virtual professionals it can be useful to have one place where things are housed physically.  I hope that you'll check out the planner and consider picking up a copy for you and/or your team.
