Picture
This week’s Weekly Journaling Prompt gets you to consider the prompt of “6 words to describe my home:”. What are the six words you would use to describe your home?

Spacious? Cozy? Homey? Showcase?

Our homes are our sanctuary as well as a purposeful place. How would you describe your home? What’s important to note about your home?

Best,
Jennifer

TEAMS365 #2272 – Flashback Friday:  Plan A Virtual Co-Working Session #1729

3/20/2020

Picture
Given that a number of professionals are needing to move to the remote space I thought that it would be appropriate to return back to past post on planning for a virtual co-working session. Remote work can feel isolating, so what if you met up for a block of remote work together?

Here’s what I shared last year in a post around Planning a Virtual Co-working session:

From leaders who manage teams which work remote most of the month, to project teams which span the globe, from remotepreneurs leading virtual businesses, remote work is on the rise.

We’ll be following many of these trends and taking a deeper dive into the adventures of the Digital Dozen™, twelve different types of remote professionals. I hope that you’ll join us and will follow along at the new website here.

With so many professionals jumping into the remote workspace, I am hoping that the years of writing on remote work, and virtual teams here at the Teams365 blog will be of service.

With that in mind, I wanted to highlight an earlier blog post  - Teams365 #1729: Plan a Virtual Co-working Session

As we move into fall, it can be very useful for teams to continue to put attention around getting things done WHILE connecting. A favorite activity I continue to facilitate is GET IT DONE afternoons, which really become Virtual Co-Working Sessions. They are a derivative of the virtual retreats I have been offering for teams, business owners and leaders since 2007.

Virtual co-working sessions may range from one-hour sprints, to four-hour blocks, to full day sessions.

Three considerations to making a virtual co-working session work include the following:

1. A platform where you can all meet, see each other and converse for periods of time.
  • Streaming is often best; however, others may appreciate the ability to take their work on the road and call in at time.
2. Focus – collectively and individually. Consider these questions:
  • What’s bringing you together today?
  • What’s the focus – is it to do something collectively or individually?
  • What outcomes do you want?
  • How do you want to break it down – meeting every hour for check-ins? Meeting more frequently?
3. Scheduled Checkpoints
  • A way to share and keep the momentum going throughout the day. I have found that virtual group and team sessions have been the seeds for some amazing new ideas and cross-pollination. Be sure to build in blocks where people are not only checking in around what they are doing, but also consider the value of building in some time for sharing of learning or insights.

Looking for inspiration on what you might do in a virtual co-working session? Consider these ideas – they are all real programs I have facilitated over the years:
  • One-hour virtual sprints for planning on the team or individual level
  • 30-minute brainstorming/innovation sessions geared to create new product and or service ideas
  • Four-hour GET IT DONE sessions where groups of solopreneurs connect virtually to take focused action once a month on things on their list. Check-ins are once an hour.
  • Four to eight-hour Virtual Retreats, where each hour has a dedicated focus and theme to explore and/take action on. For example, an hour dedicated to creating a business plan, an hour to marketing approaches, an hour for project work).

Looking for a facilitator to host your next virtual co-working session? Contact me to learn more about this service I offer.

What could a co-working event look like for you?

Enjoy!

TEAMS365 #2271 – Team Building Tip 279: What will help with focus?

3/19/2020

Picture
Focus and attention are key parts of business success today. It can be very easy to get off track, or down the rabbit hole of distractions. Focus has become an area that is getting explored in greater depth these days.

It’s not always just about whether you are focusing or not, but it is also the question of “What are you focusing on?”. Are you focusing on the things that are immediate and urgent, or are you working on those issues which may be what Chip Heath calls “upstream”? The more proactive, systemic issues, which I would call proactive or strategic. In another week I’ll be leading some strategic thinking training and what we know about strategic thinking is that it’s part creative, and a large part proactive. It can incorporate, WHAT IF, as well as WHAT THEN.

Professionally, I entered the workforce in the early 1990s and was privileged in my work in the non-profit world to be exposed to a lot of strategic thinkers and planners.  This shaped a large part of my work as a leader and facilitator in the global sphere during the 90s and early 2000s. Some of my frontline work was in economies moving through significant transition and change. I had not realized until recently that some of these older stalwarts of strategic thinking had transitioned out of the workspace (which makes sense as I think of age).

We know that in disruption it’s as important to be agile as it is to have an anchoring vision and strategy. What are you aiming towards? How are you holding the tension of strategic thinking along with agile approaches? I do believe there can be an AND. What about you?

Enjoy your focus this week on the main question of “What will help with focus?” as well as “And what do you want to focus on?” or “What’s important to focus on?”.

All the best,
Jennifer

Earlier this month at the Remote Pathways podcast which I host, we released Episode 8 which focuses on Strengths and Remote Work. We were joined by Coach Jennifer Grote as a special guest. You can listen into it here.

Strengths often play a key role in helping professional excel, particularly in the remote space when we are operating in isolation.

When’s the last time you explored your strengths?

Research around strengths has found that individuals and teams that are able to lead more by strengths, are:
  • 6x more engaged
  • 3x more likely to report having excellent quality of life
  • 8.9% greater profitability
  • Teams which focus on strengths have 12.5% greater productivity
(Gallup Strengths Center)

Today’s invitation is for you to explore how strengths shape your work.

Questions to consider:
  • What are your strengths?
  • What do you do to magnify them?
  • What happens when they are not magnified?

Enjoy exploring your strengths!

Picture
As many of you know, remote work has been the context of my professional life for the last thirty years, even before the Internet. Throughout the last three decades I’ve seen, and supported, thousands of professionals and teams in making the shift to remote work. With this in mind, I created a new whitepaper called the Remote Working Whitepaper – When You Need To Get Up To Speed Quickly.

Little did I know a few weeks ago when I finished writing this, and actually scheduled the post, that we'd be in a moment like this, where people all over the world are having to work remote.

It’s a very practical guide to support you and other team members in getting moving effectively in the remote space. The Guide covers these sections:
  • Context and Benefits of Remote Work
  • Pitfalls to Remote Work
  • Remote, Virtual or Mobile?
  • Who’s working in the remote space? The Digital Dozen
  • What’s different in the remote space?
  • 7 Remote Work Enablers
  • What’s needed for success in the remote space?
  • Making the Shift To Working Remote
  • Making Remote Work, Work for You
  • What Organizations Can Do to Support the Shift To Remote Work
  • Five Digital Tools for Remote Workers
  • Core Skills for Any Remote Worker
  • In the Spotlight: Communication In the Remote Space
  • Remote Work Myths

Teams and individual remote workers like solopreneurs will find the white paper of interest.

Pick up a copy here.

Many past organizational clients have been reaching out to me in the last few days looking for support around their shift to remote work.
Different supports we offer for remote work includes:
  • Virtual Team Sessions
  • Virtual Planning sessions
  • Virtual Strategic Planning Sessions for organizations
  • Virtual facilitation skills training - gain skills in leading virtual conversations
  • Leading virtual sessions for their organizations and teams to help with the transition to working remote.

If I, or my company, can be of service to you at this time, please reach out and contact me - phone # is below or please reach out by email. Don't feel like you need to go it alone.

Best wishes,
Jennifer

TEAMS365 #2268 – Effective Virtual Conversations 136 – Boundaries: When is Off, Really Off?

3/16/2020

Picture
One of the remote working myths is that “We are always on”. When we are part of a global team you might think that you need to be on all the time in order to reply. While this can be a short-term strategy, over time it will lead to burnout and other productivity lowering events.

Today’s question gets you as a team thinking about, and in dialogue around the question for the remote working space “When is off, really off?”.

As I have asked in other Teams365 posts, are there core hours of work when people are expected to be on?

What happens when people need to turn off?

What is expected in terms of response time?

If someone is off, how do they signal this?

What communication channels do you have to ensure that people know when people are off, and when they are on?

What do team members understand about workflow and prioritization so they can plan more effectively or workflow and time?

Issues which seem small in the face-to-face context can get magnified easily in the remote space. What’s important to note?

Best,
Jennifer

TEAMS365 #2266 – Weekly Journaling Prompt 90

3/14/2020

Who are you? How do people see you?

This week’s Weekly Journaling Prompt gets you to think in terms of how you are unique.

What are the six words you would use to describe yourself? What’s important about who you are?

One of the assessments I like to use in my work as a coach is the StrengthsFinder from Gallup. As they indicate, the chances of two people having the same Top 5 strengths is one in 33.4 million. Read this article about this from Gallup.

In a world in which things can seem commoditized, AND people are worried about Artificial Intelligence, we might take heart to recognize that we are all unique.

This weekend I hope you will enjoy reflecting on the question – "6 Words to Describe Me Are…"

Maybe you outreach to others and also ask them what they think.

Enjoy the reflection!

TEAMS365 #2265 – Flashback Friday – Remote Team Toolbox – Connection and Focus

3/13/2020

Picture
An increasing number of teams have been moving their work to the remote space in recent weeks. Focus and relationships are core to success. I thought it would be useful to reach back to a post from October on different ways you can connect your remote team. Take a look:

This week we turn our attention to a post from last October around your Remote Team Toolkit:

TEAMS365 #2130 Remote Team Toolbox: Helping teams connect, get to know each other and focus

In yesterday’s post I covered a range of different team development tools which professionals in the remote space may want to build or further develop. This could include tools in the areas of supporting the team to connect with each other, get to know each other and focus in on the work and results you want.

Area A: Activities/Resources to help the team to get to know each other
What’s outside your window? – As I wrote in Effective Virtual Conversations, we often only see people in their screen but aren’t able to see what’s beyond the screen. Have people share what’s outside their window or call in from a different location so you can learn more about their context.

Earmark 3-5 minutes to a fun opener/icebreaker in your next team meeting so people can get to know each other better.

Area B: Tools to help with focus
Minimizing the impact of digital distraction is a key issue for teams today. See what I had to say about reducing digital distractions a short while ago here at the Teams365 blog.

Several different tools which help team members focus in the virtual space include the:
  • Urgent/Important Matrix
  • Strategic Issues Mapping (link to past Teams365 posts)
  • SWOT: The trusty strategic planning tool (link to past Teams365 post)

Area C: Helping teams connect
Helping teams connect with who is who and who is working on what is of critical importance to a remote team. It’s an area we often don’t think about on the surface, sometimes given the diversity of roles and locations. It can be very useful in the medium- and long-term to facilitate regular conversations with the team around who is doing what, and to also earmark time for the team to regularly connect and get to know each other. Discussion in this area might include:
  • Undertaking inventory of projects people are working on so that lessons learned can be shared.
  • Identifying key strengths and experience bases which exist in the team – there may even be a “go to” team resource person around different areas – i.e. technology questions, resource around different themes/focus areas you work on etc.
  • Short team openers and closers such as BINGO. (where team members asked to find someone who – insert different categories like: “has visited 3 different continents, speaks multiple languages, is a twin” etc.)

For more on this topic check out the 20 Focus Areas for Virtual and Remote Team Development ebook which is available at the Potentials Realized site and provides you with facilitated instructions of 20 different activities you can facilitate with your team. Pick up a copy here.

If you have a copy of the Effective Virtual Conversations book, check out chapter 7 on Tools and Resources.

Wishing you all the best,

TEAMS365 #2263 – Keeping Motivated in the Remote Space

3/11/2020

Picture
Whether we are working out of choice or requirement in the remote space, keeping motivated is a critical factor. It may feel like we are isolated and on our own. It’s also up to us to keep going. With this in mind, keeping motivated is critical for medium- and longer-term success.

First, consider your drivers, or what gets you motivated. For some it’s all about results, for others it’s about creating relationships. For some it may be achievement, while others it’s legacy.

Our motivation and focus may also vary across the day.

Consider these questions:
  • What is important to you – in the short term? In the big picture?
  • What do you get motivated by - Deep dives around topics? Getting things checked off your list?
  • When are you at your peak?
  • What tasks need to get done right away so they are off the list?
  • What elements might need a focus later on?

What to do if motivation is flagging:
  • Consider reaching out to your network. What do they do to keep on task? What tips do they have?
  • Consider making a change to routine or location of work.
  • Reach out to your mentor and have a discussion around motivation.
  • Take a break to renew. High performance is often as much about creating a renewal break, as it is keeping on high performance.

What’s going to fill up your well again?

Best,
Jennifer
